This page explains what information Cub Scout Pack 12 of Tomball, Texas (“we”, “us”, “the pack”) collects when you visit pack12tx.org, why we collect it, who we share it with, and how to ask us to delete it.
Who runs this site
Cub Scout Pack 12 is chartered by Lakewood Methodist Church and operated by volunteer parents. Questions about this policy or your data: info@pack12tx.org.
What we collect
When you fill out our “interested” form, we collect the parent or guardian’s name, email address, optional phone number, the prospective scout’s grade, and how you heard about us. This information is encrypted at rest in our database.
When you visit any page, our hosting provider records standard server logs (IP address, browser, request timestamps) for security and operational purposes.
Advertising and analytics pixels. This site loads two pieces of third-party tracking code:
- Meta Pixel (Facebook/Instagram). Records page views and a few custom events (form submissions, clicks on our “register on BeAScout” button, and an event flagging logged-in pack members). Used by Meta to build retargeting audiences and measure ad performance.
- Google Ads Tag. Records page views and the same form-submission/registration-click signals. Used by Google to measure ad performance and build remarketing audiences.
These pixels set cookies in your browser. They run on every public page; they do not run inside the staff-only area.
Why we collect it
- To follow up about joining the pack. Form submissions go to the Cubmaster and recruitment chair so we can answer questions and invite you to a meeting.
- To advertise the pack. Anonymous visitor activity is used to retarget people who visited but didn’t fill out the form. Existing pack members are excluded from retargeting using the logged-in-member signal mentioned above.
- To run the site. Server logs help us keep things working and secure.
Who we share it with
We use a small number of operational vendors. Each only sees the data needed to do its job:
- Render — site hosting and database
- Resend — outgoing email
- Twilio — outgoing SMS (only if you give us your phone number and we contact you)
- Meta (Facebook) and Google — the advertising pixels described above
- Scouting America (BSA) — once you register, your registration is held by Scouting America under their privacy policy. This site does not control or duplicate that data.
We do not sell your information.
SMS messaging
If you give us your phone number — through the “interested” form or in person at a pack meeting — we may text you about joining the pack, pack meetings, and signature events. SMS is delivered through Twilio. See our SMS Terms for program details, message frequency, and how to opt out.
No mobile information is shared with third parties or affiliates for marketing or promotional purposes. Phone numbers and any text-message content you send us are used only by Pack 12 volunteer leadership to follow up with you, and by Twilio strictly to deliver the messages. We do not sell, rent, or share mobile opt-in data, and SMS opt-in consent is not shared with any third party.
You can opt out of texts at any time by replying STOP to any message from us. Opt-out is processed immediately at the carrier level and within our system.
How long we keep it
Lead-form submissions are retained for the recruitment season they came in on (roughly one school year) and then deleted unless you’ve registered with the pack. Once registered, your roster data lives in Scouting America’s systems (Scoutbook / my.scouting.org), not ours.
Children’s privacy
This site is intended for parents and guardians. We don’t knowingly collect personal information directly from children under 13. If you believe a child has submitted information to us, contact info@pack12tx.org and we’ll delete it.
Photos of scouts
We don’t publish identifiable photos of scouts on this public site. Pack-wide photos are shared in private channels only.
Your choices
- Ask us to delete your information. Email info@pack12tx.org with the email address you submitted and we’ll remove it from our database.
- Opt out of advertising tracking. Most browsers offer privacy controls that block third-party cookies or pixels; using those will stop Meta and Google from receiving your activity. You can also opt out at the platform level: Meta’s ad preferences and Google’s ad settings.
Changes to this policy
If we make material changes, we’ll update the “Last updated” date at the top. Significant changes will be mentioned in our normal communication channels.
